Email capabilities in Theta Assist
Theta Assist can help you work with Microsoft (M365) email in a few different ways, depending on how your assistant has been set up. This can include reading email content for context, drafting email content, and sending scheduled summaries to your own inbox.
The exact email options available to you depend on your organisation’s set-up, the assistant you are using, and whether your Microsoft account is connected.

What email capabilities are available
If Microsoft 365 access is enabled for your assistant, Theta Assist may be able to help with email in these ways:
- read Outlook email metadata and messages
- draft new emails and replies
- use email content as context for summaries and planning
- send scheduled summaries to your own inbox
- send workflow notifications to yourself after an automated task completes
For example, a scheduled job can check your overnight emails, calendar, Teams chats, and meeting transcripts, then email you a summary. A scheduled workflow can also email you a completion summary after processing files or running a multi-step task.
Before you start
Make sure:
- you are using an assistant with Microsoft access enabled
- you can see the wrench icon in the message box
- your Microsoft account is connected
- there is no red dot showing on the wrench icon
- your assistant has the email-related Microsoft options enabled
Quick guide — use email features in Theta Assist
Connect your Microsoft account
- Open the assistant you want to use.
- Look for the wrench icon in the message box.
- If there is a red dot, open the connector list.
- Find the Microsoft option you need.
- Click Authenticate.
- Sign in with your Microsoft account.
- Approve the requested permissions if prompted.
- Return to Theta Assist and confirm the red dot has disappeared.
Ask the assistant to help with email
Once connected, you can ask the assistant to help with tasks such as:
- summarising recent emails about a project
- pulling together important messages from overnight
- drafting an email from notes or bullet points
- drafting a reply based on thread context
- preparing a daily brief and emailing it to you
- sending a summary after a scheduled workflow finishes
Use email in scheduled jobs
If your organisation has enabled scheduled jobs, you can set up an assistant to run automatically and email results to you.
- Open the assistant you want to schedule.
- Go to Advanced Options > Schedules.
- Click Add Schedule.
- Add a name, schedule, and initial prompt.
- In the prompt, tell the assistant what to review and what email output you want.
- Click Save.
A common example is a daily morning brief that checks your unread emails, Teams messages, meetings, and transcripts, then emails you a structured summary.
What to expect
Email behaviour can vary depending on how the assistant has been configured.
General capabilities include
- read and summarise email content
- draft new emails or replies
- email-to-self - e.g. after a scheduled job completes
Available actions depend on the tools enabled for that assistant
Common examples
Daily morning brief
A scheduled assistant can:
- check unread emails from overnight
- review Teams chats and meeting transcripts
- look at your upcoming meetings
- email you a prioritised summary for the day
Workflow completion summary
A scheduled workflow can:
- process files from SharePoint or OneDrive
- extract or summarise information
- complete the follow-up task
- email you a summary confirming what happened
Drafting support
Depending on set-up, the assistant may also help draft:
- a new email from notes
- a reply to an existing message
- a follow-up after a meeting
- a polished version of a rough email draft
Troubleshooting
I cannot see the wrench icon
This usually means the assistant does not have any tools connected that require authentication.
Ask the assistant author or your admin to enable Microsoft access for that assistant.
Microsoft is not listed in the wrench menu
This usually means Microsoft connectors or M365 Tools have not been enabled for that assistant or organisation.
The red dot is still showing
Try these steps:
- Refresh the page.
- Open the wrench icon again.
- Check the authentication status.
- Re-authenticate if needed.
Authentication failed
Check that:
- you signed in with the correct Microsoft account
- you already have access to the Microsoft 365 services involved
- your organisation allows that connector
- you approved the requested permissions
The assistant can read email but cannot send or draft what I want
Available features depend on the assistant’s configuration. If a feature is missing, ask your assistant author or admin whether the correct Microsoft options have been enabled.
Theta Assist imposes some security restrictions on what can be sent by e-mail or included in an AI-generated e-mail draft. Unsafe elements may be stripped from your proposed message.
Images cannot be included in Theta Assist emails.
