can manage which models are available in the system and who can use them.</p>\n<p>You can use model settings to:</p>\n<ul>\n<li>review the models available to your organisation</li>\n<li>restrict a model to a specific Access Profile</li>\n<li>leave a model unrestricted so it is available to all eligible users</li>\n<li>control which models can be used as part of assistant configuration and thread-level model changes</li>\n</ul>\n<p>This is especially useful for higher-cost or specialist models.</p>\n<h2 id=\"manage-models\">Manage models</h2>\n<ol>\n<li>Go to <strong>Admin &gt; Configuration &gt; Models</strong>.</li>\n<li>Open the model you want to review.</li>\n<li>Check the model settings, including whether an <strong>Access Profile</strong> is assigned.</li>\n<li>Save any changes.</li>\n</ol>\n<p>If a model has no Access Profile assigned, it is available to all eligible users.</p>\n<h2 id=\"restrict-a-model-with-an-access-profile\">Restrict a model with an Access Profile</h2>\n<p>Use an Access Profile when you want only a specific group of users to see and use a model.</p>\n<ol>\n<li>Go to <strong>Admin &gt; Configuration &gt; Models</strong>.</li>\n<li>Open the model you want to restrict.</li>\n<li>Select an <strong>Access Profile</strong>.</li>\n<li>Save your changes.</li>\n</ol>\n<p>Only members of that Access Profile, plus system administrators, will be able to see and use the model.</p>\n<p>To create or manage profiles, see <a href=\"https://help.thetaassist.ai/article/access-profiles-admin-guide\" target=\"_blank\" rel=\"noopener\">Access Profiles | Admin Guide</a>.</p>\n<h2 id=\"how-model-restrictions-work\">How model restrictions work</h2>\n<p>When a model is restricted by an Access Profile:</p>\n<ul>\n<li>only members of that profile and system administrators can see it in model lists</li>\n<li>non-members cannot assign it to an assistant</li>\n<li>non-members cannot switch a thread to that model</li>\n<li>background features that choose models automatically will skip that model for users who are not allowed to use it</li>\n</ul>\n<p>If a user is not allowed to use a restricted model, the model is usually hidden rather than shown with an error.</p>\n<h3 id=\"membership-and-caching\">Membership and caching</h3>\n<p>Access Profile membership is cached for a short time.</p>\n<p>After adding or removing someone from a profile:</p>\n<ul>\n<li>wait up to <strong>5 minutes</strong></li>\n<li>ask the user to refresh the page and try again</li>\n</ul>\n<h2 id=\"system-default-model\">System default model</h2>\n<p>The system default model is the model used by new assistants, and those that have \"stay up to date with the system default model\" enabled.&nbsp;</p>\n<p>To set the system default:</p>\n<ol>\n<li>Go to&nbsp;<strong>Admin &gt; Configuration &gt; Defaults</strong>.</li>\n<li>Select your preferred model.</li>\n<li>Select&nbsp;<strong>Save changes</strong>.</li>\n</ol>\n<p>If you change the system default, all assistants which have \"stay up to date with the system default model\" enabled automatically get updated with that model.</p>\n<p>A restricted model cannot be set as the system default model.&nbsp;If you want to use a model as the default for the organisation, make sure it is not restricted by an Access Profile.</p>\n<p>If you are planning to move assistants from one model to another, use <strong>Migrate Models</strong>&nbsp;to review affected assistants and complete the change.</p>\n<h2 id=\"mcetoc_1jnoc44m7c8\">Migrate assistants to a newer model</h2>\n<p>Use&nbsp;<strong>Migrate Models</strong>&nbsp;to see which assistants are using each model and move them to a newer model.</p>\n<p>This is useful when you want to:</p>\n<ul>\n<li>standardise assistants on fewer models</li>\n<li>move off an older model</li>\n<li>shift assistants to a lower-cost or higher-capability model</li>\n</ul>\n<h3 id=\"mcetoc_1jnoc44m7c9\">Open Migrate Models</h3>\n<ol>\n<li>Go to&nbsp;<strong>Admin &gt; Configuration &gt; Migrate Models</strong>.</li>\n<li>Review the list of the&nbsp;<strong>Assistants</strong>&nbsp;column to see how many assistants are using each model.</p>\n<p>Select the assistant count to review the assistants affected before making a change.</p>\n<h3 id=\"mcetoc_1jnoc44m7cb\">Migrate a model</h3>\n<ol>\n<li>Find the model you want to migrate assistants from.</li>\n<li>Check the assistant count.</li>\n<li>Select&nbsp;<strong>Migrate</strong>.</li>\n<li>Choose the target model.</li>\n<li>Review the change.</li>\n<li>Confirm the migration.</li>\n</ol>\n<h3 id=\"mcetoc_1jnoc44m7cc\">Before you migrate</h3>\n<p>Check that:</p>\n<ul>\n<li>the target model is suitable for the assistants being migrated</li>\n<li>the target model supports the features those assistants need</li>\n<li>the right users will be able to access the target model</li>\n</ul>\n<p>If the target model is restricted by an&nbsp;<strong>Access Profile</strong>, review that restriction before migrating.</p>\n<h3 id=\"mcetoc_1jnoc44m7cd\">How Access Profiles affect migration</h3>\n<p>If the target model is restricted:</p>\n<ul>\n<li>only authorised users can see and use it</li>\n<li>non-members cannot switch a thread to that model</li>\n<li>migrated assistants may be affected if the target model is not available to the relevant users</li>\n</ul>\n<h2 id=\"common-scenarios\">Common scenarios</h2>\n<h3 id=\"restrict-premium-models\">Restrict premium models</h3>\n<p>Use this when you want only approved users to access higher-cost models.</p>\n<ol>\n<li>Create an Access Profile such as <strong>Premium model users</strong>.</li>\n<li>Add the approved users or groups.</li>\n<li>Assign that profile to the premium model.</li>\n<li>Save your changes.</li>\n</ol>\n<p>Only those users, plus system administrators, will be able to use that model.</p>\n<h3 id=\"leave-standard-models-open\">Leave standard models open</h3>\n<p>If you want a model to be available to everyone, leave the <strong>Access Profile</strong> field blank.</p>\n<p>This is usually the best option for lower-cost or default models.</p>\n<h3 id=\"use-one-profile-across-features\">Use one profile across features</h3>\n<p>You can use the same Access Profile across models, tools, connectors, and MCP servers.</p>\n<p>This is useful when one team should have access to a set of related capabilities.</p>\n<h2 id=\"troubleshooting\">Troubleshooting</h2>\n<h3 id=\"a-user-cannot-see-a-model-they-should-be-able-to-use\">A user cannot see a model they should be able to use</h3>\n<p>Check the following:</p>\n<ul>\n<li>the correct Access Profile is assigned to the model</li>\n<li>the user, or one of their groups, is a member of that profile</li>\n<li>the user has refreshed the page</li>\n<li>enough time has passed for cached access to refresh</li>\n</ul>\n<h3 id=\"a-user-can-see-a-model-they-should-not-be-able-to-use\">A user can see a model they should not be able to use</h3>\n<p>Check whether:</p>\n<ul>\n<li>the wrong Access Profile is assigned to the model</li>\n<li>the user is a member of the profile through a group</li>\n<li>the user is a system administrator</li>\n</ul>\n<h3 id=\"a-user-cannot-switch-a-thread-to-a-model\">A user cannot switch a thread to a model</h3>\n<p>Check whether:</p>\n<ul>\n<li>the model is restricted by an Access Profile</li>\n<li>the user is allowed to use that model</li>\n<li>the assistant owner has locked model settings</li>\n</ul>\n<h3 id=\"changing-or-deleting-a-profile-changed-model-availability\">Changing or deleting a profile changed model availability</h3>\n<p>If an Access Profile is removed or deleted, any model using that profile becomes unrestricted unless another profile is assigned.</p>\n<p>If this was not intended, assign the correct profile again.</p>\n<h3 id=\"mcetoc_1jnoc9jveds\">A migrated assistant cannot use the target model</h3>\n<p>Check whether the target model is restricted by an&nbsp;<strong>Access Profile</strong>.</p>\n<h3 id=\"mcetoc_1jnoc9jvedt\">I’m not sure which models to review first</h3>\n<p>Start with models that have:</p>\n<ul>\n<li>the highest assistant counts</li>\n<li>the highest cost impact</li>\n<li>the oldest or least-used deployments</li>\n</ul>\n<h2
