Overview</h2>\n<p>Jobs in Theta Assist brings together 2 related functions in one place:</p>\n<ul>\n<li><strong>Scheduled jobs</strong>&nbsp;let assistant authors set prompts to run automatically on a recurring schedule, such as every Monday morning or every day at 9 am.</li>\n<li><strong>Background job tracking</strong>&nbsp;lets users check the progress and results of async tasks started during a conversation, such as batch processing.</li>\n</ul>\n<p>Administrators also have a separate monitoring view where they can see jobs and schedules for all users and cancel any job that is still running.</p>\n<hr dir=\"auto\" data-line=\"29\">\n<h2 id=\"mcetoc_1jku6p2t8190\" dir=\"auto\" data-line=\"31\">2. Enabling jobs</h2>\n<p>To enable Jobs:</p>\n<ol>\n<li>Go to&nbsp;<strong>Admin &gt; Tools &gt; Settings</strong>.</li>\n<li>In&nbsp;<strong>Tool Settings</strong>, turn on&nbsp;<strong>Enable Jobs</strong>.</li>\n</ol>\n<p>This setting enables scheduled operations and background jobs.</p>\n<p>If Jobs is turned off:</p>\n<ul>\n<li><strong>Jobs</strong>&nbsp;does not appear in the main navigation.</li>\n<li><strong>Schedules</strong>&nbsp;does not appear in assistant configuration.</li>\n<li>Batch processing built-in tools, such as&nbsp;<code>async_start_process_*</code>&nbsp;and&nbsp;<code>async_start_code_generation</code>, show an error if someone tries to use them.</li>\n</ul>\n<p><strong>Note:</strong>&nbsp;The admin monitoring page is still available to system administrators even when Jobs is turned off.</p>\n<p><img src=\"https://portal.helpfruit.com/api/images/0d5220bc9ad14992d05108dccd460f35/files/Screenshot%202026-03-30%20at%202.23.08%E2%80%AFPM.png?width=1000&amp;height=\" alt=\"Tool Settings with Enable Jobs selected\" width=\"1000\" height=\"400\"></p>\n<p><em>Tool Settings with&nbsp;<strong>Enable Jobs</strong> selected. Jobs page&nbsp;</h2>\n<p dir=\"auto\" data-line=\"44\">Users access the Jobs page from the main navigation. Scheduled jobs</h2>\n<h3 id=\"what-they-are\" dir=\"auto\" data-line=\"57\">What they are</h3>\n<p dir=\"auto\" data-line=\"59\">A scheduled job is a recurring task attached to an assistant. At the scheduled time, Theta Assist sends the saved prompt to the assistant automatically, creates a thread, runs the assistant using its configured tools, and saves the result.</p>\n<p dir=\"auto\" data-line=\"61\">Typical uses include:</p>\n<ul dir=\"auto\" data-line=\"62\">\n<li dir=\"auto\" data-line=\"62\">A weekly report that pulls data from connected systems and summarises it.</li>\n<li dir=\"auto\" data-line=\"63\">A daily briefing that checks email, calendar, or task lists.</li>\n<li dir=\"auto\" data-line=\"64\">A recurring data extraction or monitoring task.</li>\n</ul>\n<h3 id=\"where-they-are-configured\" dir=\"auto\" data-line=\"66\">Where they are configured</h3>\n<p>&nbsp;</p>\n<div><img src=\"https://storage.faqbot.nz/prod/0d5220bc9ad14992d05108dccd460f35/files/pasted_image_article_jobs-admin-guide_1387afe1-8596-4a22-aeef-7600e95ce1ed.png\" width=\"800\" height=\"222\"></div>\n<p>&nbsp;</p>\n<p dir=\"auto\" data-line=\"68\">Scheduled jobs are created and managed on the&nbsp;assistant edit page, under the&nbsp;<strong>Schedules</strong> tab (visible when advanced options are enabled).&nbsp;</p>\n<p dir=\"auto\" data-line=\"68\">This is an assistant author capability. This field is read-only</td>\n</tr>\n<tr dir=\"auto\" data-line=\"78\">\n<td><strong>Initial Prompt</strong></td>\n<td>The prompt sent to the assistant each time the schedule runs</td>\n</tr>\n</tbody>\n</table>\n<h3 id=\"viewing-scheduled-jobs\" dir=\"auto\" data-line=\"80\">Viewing scheduled jobs</h3>\n<p>On the&nbsp;<strong>Scheduled</strong>&nbsp;tab of the&nbsp;<strong>Jobs</strong>&nbsp;page, users can see:</p>\n<ul>\n<li>The schedule description</li>\n<li>The last run time</li>\n<li>The next scheduled run time</li>\n<li>The assistant linked to the schedule</li>\n</ul>\n<p>If a schedule is set not to run, its description appears as&nbsp;<strong>Never</strong>.</p>\n<p>Expanding a row shows the time zone, raw cron expression, and initial prompt.</p>\n<p>Users can also&nbsp;<strong>run a schedule immediately</strong>&nbsp;from this page. This starts a one-off run outside the normal schedule.</p>\n<hr dir=\"auto\" data-line=\"92\">\n<h2 id=\"5-background-job-tracking\" dir=\"auto\" data-line=\"94\">5. Background job tracking</h2>\n<h3 id=\"mcetoc_1jku6p2t8191\">What appears here</h3>\n<p>The&nbsp;<strong>Jobs</strong>&nbsp;tab shows background tasks started from conversations. These are usually async operations, such as batch processing jobs started with built-in tools.</p>\n<p>Each job in the list shows key details, including:</p>\n<ul>\n<li>The job name</li>\n<li>Its status</li>\n<li>When it was created</li>\n<li>When it finished</li>\n<li>Links to the related assistant and thread</li>\n</ul>\n<p>The page refreshes automatically every 5 seconds while jobs are&nbsp;<strong>Pending</strong>&nbsp;or&nbsp;<strong>Running</strong>.</p>\n<h3 id=\"job-statuses\" dir=\"auto\" data-line=\"103\">Job statuses</h3>\n<p>A job can have one of these statuses:</p>\n<table style=\"width: 723.658081px;\">\n<thead>\n<tr>\n<th>Status</th>\n<th>Meaning</th>\n</tr>\n</thead>\n<tbody>\n<tr>\n<td><strong>Pending</strong></td>\n<td>The job has been created and is waiting to start</td>\n</tr>\n<tr>\n<td><strong>Running</strong></td>\n<td>The job is currently in progress</td>\n</tr>\n<tr>\n<td><strong>Completed</strong></td>\n<td>The job finished successfully</td>\n</tr>\n<tr>\n<td><strong>Failed</strong></td>\n<td>The job stopped because of an error</td>\n</tr>\n<tr>\n<td><strong>Cancelled</strong></td>\n<td>The job was cancelled before it finished</td>\n</tr>\n</tbody>\n</table>\n<h3 id=\"what-users-can-see\" dir=\"auto\" data-line=\"113\">What users can view</h3>\n<p>Users can expand a job row to see more detail, including:</p>\n<ul>\n<li>The job ID</li>\n<li>The current progress message</li>\n<li>Error details, if the job failed</li>\n<li>Any child operations created by the job</li>\n</ul>\n<p>Selecting&nbsp;<strong>View details</strong>&nbsp;opens the full job detail page. This includes timing information, the full result message, and, for batch processing jobs, a paginated table showing the status and result for each item.</p>\n<h3 id=\"mcetoc_1jku6p2t8192\">What users can do</h3>\n<p>Users can:</p>\n<ul>\n<li><strong>Cancel</strong>&nbsp;jobs that are still&nbsp;<strong>Pending</strong>&nbsp;or&nbsp;<strong>Running</strong></li>\n<li><strong>Delete</strong>&nbsp;jobs that have already finished</li>\n</ul>\n<h3 id=\"mcetoc_1jku6p2t8193\">Filtering</h3>\n<p>Users can filter the jobs list by name and status, and choose how many items to show per page.</p>\n<hr dir=\"auto\" data-line=\"131\">\n<h2 id=\"6-admin-monitoring-view\" dir=\"auto\" data-line=\"133\">6. Admin monitoring view</h2>\n<p>System administrators can go to&nbsp;<strong>Admin &gt; Monitoring &gt; Jobs</strong>&nbsp;to monitor jobs and schedules across all users.</p>\n<p>The admin view includes the same information as the user&nbsp;<strong>Jobs</strong>&nbsp;page, plus:</p>\n<ul>\n<li>User email details</li>\n<li>Extra filtering by user email</li>\n<li>Access to full job details across the organisation</li>\n<li>The ability to cancel running jobs</li>\n</ul>\n<p>Admins can also view schedule settings, including the time zone, cron expression, and initial prompt.</p>\n<h3 id=\"mcetoc_1jku71bjd1a1\">Admin job detail page</h3>\n<p>Admins can open a full detail page for any job.
