A scheduled workflow can also email you a completion summary after processing files or running a multi-step task.</p>\n<h2 id=\"before-you-start\">Before you start</h2>\n<p>Make sure:</p>\n<ul>\n<li>you are using an assistant with Microsoft access enabled</li>\n<li>you can see the <strong>wrench icon</strong> in the message box</li>\n<li>your Microsoft account is connected</li>\n<li>there is no red dot showing on the wrench icon</li>\n<li>your assistant has the email-related Microsoft options enabled</li>\n</ul>\n<h2 id=\"quick-guide-use-email-features-in-theta-assist\">Quick guide — use email features in Theta Assist</h2>\n<h3 id=\"mcetoc_1jrmp3pk5i3\">Connect your Microsoft account</h3>\n<ol>\n<li>Open the assistant you want to use.</li>\n<li>Look for the <strong>wrench icon</strong> in the message box.</li>\n<li>If there is a red dot, open the connector list.</li>\n<li>Find the Microsoft option you need.</li>\n<li>Click <strong>Authenticate</strong>.</li>\n<li>Sign in with your Microsoft account.</li>\n<li>Approve the requested permissions if prompted.</li>\n<li>Return to Theta Assist and confirm the red dot has disappeared.</li>\n</ol>\n<h3 id=\"mcetoc_1jrmp3pk5i4\">Ask the assistant to help with email</h3>\n<p>Once connected, you can ask the assistant to help with tasks such as:</p>\n<ul>\n<li>summarising recent emails about a project</li>\n<li>pulling together important messages from overnight</li>\n<li>drafting an email from notes or bullet points</li>\n<li>drafting a reply based on thread context</li>\n<li>preparing a daily brief and emailing it to you</li>\n<li>sending a summary after a scheduled workflow finishes</li>\n</ul>\n<h3 id=\"mcetoc_1jrmp3pk5i5\">Use email in scheduled jobs</h3>\n<p>If your organisation has enabled <a href=\"https://help.thetaassist.ai/article/scheduled-jobs-user-guide\" target=\"_blank\" rel=\"noopener\">scheduled jobs</a>, you can set up an assistant to run automatically and email results to you.</p>\n<ol>\n<li>Open the assistant you want to schedule.</li>\n<li>Go to <strong>Advanced Options &gt; Schedules</strong>.</li>\n<li>Click <strong>Add Schedule</strong>.</li>\n<li>Add a name, schedule, and initial prompt.</li>\n<li>In the prompt, tell the assistant what to review and what email output you want.</li>\n<li>Click <strong>Save</strong>.</li>\n</ol>\n<p>A common example is a daily morning brief that checks your unread emails, Teams messages, meetings, and transcripts, then emails you a structured summary.</p>\n<h2 id=\"what-to-expect\">What to expect</h2>\n<p>Email behaviour can vary depending on how the assistant has been configured.</p>\n<p>General capabilities include</p>\n<ul>\n<li>read and&nbsp;summarise&nbsp;email content</li>\n<li>draft new emails or replies</li>\n<li>email-to-self - e.g. after a scheduled job completes</li>\n</ul>\n<p>Available actions depend on the tools enabled for that assistant</p>\n<h2 id=\"common-examples\">Common examples</h2>\n<h3 id=\"mcetoc_1jrmp3pk5i6\">Daily morning brief</h3>\n<p>A scheduled assistant can:</p>\n<ol>\n<li>check unread emails from overnight</li>\n<li>review Teams chats and meeting transcripts</li>\n<li>look at your upcoming meetings</li>\n<li>email you a prioritised summary for the day</li>\n</ol>\n<h3 id=\"mcetoc_1jrmp3pk5i7\">Workflow completion summary</h3>\n<p>A scheduled workflow can:</p>\n<ol>\n<li>process files from SharePoint or OneDrive</li>\n<li>extract or summarise information</li>\n<li>complete the follow-up task</li>\n<li>email you a summary confirming what happened</li>\n</ol>\n<h3 id=\"mcetoc_1jrmp3pk5i8\">Drafting support</h3>\n<p>Depending on set-up, the assistant may also help draft:</p>\n<ul>\n<li>a new email from notes</li>\n<li>a reply to an existing message</li>\n<li>a follow-up after a meeting</li>\n<li>a polished version of a rough email draft</li>\n</ul>\n<h2 id=\"troubleshooting\">Troubleshooting</h2>\n<h3 id=\"mcetoc_1jrmp3pk5i9\">I cannot see the wrench icon</h3>\n<p>This usually means the assistant does not have any tools connected that require authentication.</p>\n<p>Ask the assistant author or your admin to enable Microsoft access for that assistant.</p>\n<h3 id=\"mcetoc_1jrmp3pk5ia\">Microsoft is not listed in the wrench menu</h3>\n<p>This usually means Microsoft connectors or M365 Tools have not been enabled for that assistant or organisation.</p>\n<h3 id=\"mcetoc_1jrmp3pk5ib\">The red dot is still showing</h3>\n<p>Try these steps:</p>\n<ol>\n<li>Refresh the page.</li>\n<li>Open the <strong>wrench icon</strong> again.</li>\n<li>Check the authentication status.</li>\n<li>Re-authenticate if needed.</li>\n</ol>\n<h3 id=\"mcetoc_1jrmp3pk5ic\">Authentication failed</h3>\n<p>Check that:</p>\n<ul>\n<li>you signed in with the correct Microsoft account</li>\n<li>you already have access to the Microsoft 365 services involved</li>\n<li>your organisation allows that connector</li>\n<li>you approved the requested permissions</li>\n</ul>\n<h3 id=\"mcetoc_1jrmp3pk5id\">The assistant can read email but cannot send or draft what I want</h3>\n<p>Available features depend on the assistant’s configuration. If a feature is missing, ask your assistant author or admin whether the correct Microsoft options have been enabled.</p>\n<p>Theta Assist imposes some security restrictions on what can be sent by e-mail or included in an AI-generated e-mail draft.
