Use Microsoft 365 connectors to let your assistant work with the Microsoft tools you already use, such as Outlook, Teams, Calendar, OneDrive and SharePoint.

This guide helps you work out what to do first, depending on whether you are an end user, an assistant author, or an admin.

What this lets you do

Once Microsoft 365 access is enabled and authenticated, your assistant may be able to:

Use these steps if Microsoft options have already been enabled for the assistant and you just need to connect your own account.

Before you start, make sure

Connect your account

  1. Open the assistant you want to use.
    2. \n
  2. Look for the wrench icon in the message box.
    3. \n
  3. Is there a red dot? A red dot means one or more connectors still need authentication.\n
      \n
    1. In the connector list, find the Microsoft option you want to use.
      2. \n
    2. Click Authenticate.
      3. \n
    3. Sign in with your Microsoft account in the pop-up window.
      4. \n
    4. Review the permissions and approve them if prompted.
      5. \n
    5. Return to Theta Assist and confirm the red dot has disappeared.

Once connected...

Once connected, you can start asking for help with the Microsoft data you already have access to.

\n

For example, you might ask the assistant to:

If you do not see the wrench icon, or do not see Microsoft as an option

\n

If you don't see the wrench icon, it means that assistant does not have any tools connected that require authentication.

\n

If Microsoft is not listed when you open the wrench menu, it usually means the assistant or organisation has not enabled it yet.

\n

In either case you can:

I want to use Outlook and Teams with this assistant. Can you enable Microsoft connectors or M365 Tools for me?

For assistant authors

\n

Use these steps if Microsoft access has already been configured by your organisation and you want to make it available in your assistant.

  1. Open your assistant.
    2. \n
  2. Go to the Tools tab.
    3. \n
  3. Make sure advanced options are visible if needed.
    4. \n
  4. Review the list of available connectors and MCP servers.
    5. \n
  5. Enable the Microsoft option/s you want to use by ticking the relevant checkboxes.
    6. \n
  6. Save your changes.

Once enabled, users of that assistant should see the wrench icon in the message box and be able to authenticate their own Microsoft account.

Admins can configure built-in Microsoft connectors for services such as:

  2. Add a Microsoft authentication configuration.

  3. Go to Admin > Tools > Connectors.
    4. \n
  4. Select the Microsoft auth configuration for each Microsoft connector you want to enable.

  5. Set the approval policy.

Troubleshooting

\n

I can see the wrench icon, but Microsoft is not there

\n

This usually means Microsoft connectors have not been enabled for that assistant.

\n

Ask your assistant author or admin to enable them.

\n

I clicked Authenticate but nothing happened

\n

Check that your browser allows pop-ups, then try again.

\n

Authentication failed

\n

Check that:

\n\n

If needed, contact your admin.

\n

The red dot is still showing

\n
    \n
  1. Refresh the page.
    2. \n
  2. Open the wrench icon again.
    3. \n
  3. Check the authentication status.
    4. \n
  4. Re-authenticate if needed.
    5. \n

It worked before, but now it is asking again

\n

Authentication tokens can expire. If that happens, the red dot may reappear and you will need to authenticate again.
